Terms of Service

These Terms of Service ("Terms") govern access to and use of the E-Gate platform ("Service"), operated by E-Gate ("we", "us"). By creating an account or using the Service, you agree to these Terms.

1. Who these Terms apply to

A School is the institution that subscribes to E-Gate and controls the data it submits. A User is anyone who accesses the Service under a School's account — School staff, guardians/parents, and gate personnel. A School is responsible for ensuring its Users comply with these Terms.

2. The Service

E-Gate provides tools for managing visitation days, guardian communication, event registration, and gate check-in/check-out. Features available to a School depend on its subscribed plan.

3. Accounts

  • You must provide accurate information when creating an account and keep it up to date.
  • You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account.
  • Notify us immediately at support@e-gate.rw if you suspect unauthorized use of your account.

4. Subscriptions and payment

  • Schools subscribe to a paid plan to access the Service; plan features and pricing are shown during onboarding.
  • Payments (subscriptions and donations) are processed through our payment partner, Sicily. By making a payment you also agree to Sicily's applicable terms.
  • Fees are billed as described at the time of purchase and are non-refundable except where required by law or expressly stated otherwise.
  • We may suspend access to paid features if payment is not received.

5. Acceptable use

You agree not to:

  • Use the Service for any unlawful purpose, or to submit data you don't have the right to submit (including student data submitted without appropriate authority to do so).
  • Attempt to gain unauthorized access to any account, system, or data.
  • Interfere with or disrupt the Service's operation or security.
  • Use the Service to send spam or unsolicited communications.
  • Reverse-engineer, resell, or white-label the Service without our written permission.

6. School responsibility for submitted data

A School is responsible for the accuracy and lawfulness of the student, guardian, and visitor data it submits, including obtaining any consent required to do so under applicable law. E-Gate acts as a data processor on the School's behalf for this data — see our Privacy Policy for how we handle it.

7. Guardian and parent use

The guardian portal is provided to help guardians linked to a School stay informed and respond to visitation invitations. Guardians are responsible for keeping their own contact details accurate so communications reach them correctly.

8. Intellectual property

The Service, including its software, design, and branding, is owned by E-Gate and protected by applicable intellectual property law. These Terms do not grant you any rights to our trademarks or branding beyond what's needed to use the Service normally.

9. Service availability

We aim to keep the Service reliably available but do not guarantee uninterrupted access. Planned maintenance, third-party provider outages (email, SMS, payment processing), or unforeseen issues may occasionally affect availability.

10. Limitation of liability

To the fullest extent permitted by law, E-Gate is not liable for indirect, incidental, or consequential damages arising from use of the Service. Our total liability for any claim relating to the Service is limited to the amount paid by the affected School in the twelve months preceding the claim.

11. Termination

A School may stop using the Service at any time. We may suspend or terminate access for breach of these Terms, non-payment, or conduct that risks the security or integrity of the Service. On termination, data is retained or deleted in line with our Privacy Policy.

12. Changes to these Terms

We may update these Terms from time to time. Material changes will be reflected by updating the "Last updated" date above; continued use of the Service after a change constitutes acceptance of the updated Terms.

13. Governing law

These Terms are governed by the laws of the Republic of Rwanda.
